What You'll Do:

As a trusted Virtual Assistant, you will provide comprehensive administrative and operational support to leaders and teams across various functions. Your responsibilities may include:

Calendar & Schedule Management: Meticulously manage complex calendars, schedule meetings, appointments, and travel arrangements (virtual and occasional physical, if required by role).
Communication Hub: Act as a key point of contact, managing incoming communications (emails, calls), drafting correspondence, and ensuring timely responses.
Meeting Preparation & Support: Prepare agendas, presentations, and documents for meetings; take accurate minutes; and follow up on action items.
Data Management & Reporting: Organize and maintain digital files, databases, and records. Assist with data entry, compiling information, and generating basic reports.
Project Coordination: Provide support on various projects, helping to track progress, coordinate tasks, and ensure deadlines are met.
Travel & Expense Processing: Assist with virtual travel bookings and accurately process expense reports.
Administrative Support: Handle a wide range of administrative tasks to ensure the smooth operation of daily activities for your assigned team(s).
Proactive Anticipation: Anticipate needs and proactively offer solutions, ensuring seamless support for your team.
What We're Looking For:

Exceptional Organizational Skills: Proven ability to manage multiple priorities, juggle complex schedules, and maintain meticulous records.
Proactive & Self-Motivated: A strong sense of initiative, with the ability to work independently and identify needs without constant supervision.
Strong Communication: Excellent written and verbal communication skills, with a professional, clear, and concise demeanor.
Tech Proficiency: Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfortable learning new internal software and virtual collaboration tools (e.g., Zoom, Microsoft Teams).
Attention to Detail: Meticulous accuracy in all tasks, from scheduling to document preparation.
Discretion & Confidentiality: Ability to handle sensitive information with the utmost professionalism and discretion.
Problem-Solving Skills: Resourceful and able to troubleshoot minor issues or find appropriate solutions.
Reliable Home Office Setup: A quiet, private, and distraction-free workspace with a stable, high-speed internet connection and a reliable computer (specifications may be provided).
Experience: Proven experience in an administrative support, executive assistant, or virtual assistant role within a corporate environment. Experience in the financial services sector is a plus.
High School Diploma or equivalent: Required. Further education or certifications are a plus.
